Workflows in repository

Default Workflow

Roles:

  • supercurator NTK
  • community curator
  • submitter
  • member

An unauthenticated user can read the metadata of published records and open-access files.

A community member can read the metadata and files of all published and draft records, but cannot submit new records.

A submitter can browse all records and their files, including drafts, and create new records.

A submitter can edit and delete their own drafts, request publication of their drafts, request a DOI for their own records, and edit and create new versions of their published records. In specific cases, they can also request the deletion of their own records.

If a submitter wants to publish a record, they submit a request for approval, which goes to the community curator. If the request is not processed within 21 days, it will be escalated to the NTK supercurator.

The curator will review approval requests, open the record, check its completeness, and either return the record for revision or approve and publish it.

Once published, the record is discoverable, and the DOI is discoverable and permanently links to its location in the repository.

If problems arise, the curator is unsure, or in other cases, they will involve the NTK supercurator, who will review the record and, if necessary, contact technical support.

If a document is changed or updated, the submitter creates a new version of the record and uploads the revised document. They then submit a request for approval of the new version of the record. If the original version of the record had an assigned DOI, it is necessary to request a new one for the new version.

If the submitter only wants to correct minor errors in the metadata, it is not necessary to create a new version of the record. To publish these changes, another approval request must be submitted and processed by the curator.

If a record needs to be deleted, the submitter sends a deletion request to the NTK supercurator, who reviews the justification and contacts the relevant community curator. If both agree, the record is deleted, and a tombstone page is created. Otherwise, the record is retained, and the request is denied.
