Login Section

How to log in to NR? 
Use eduID login if your institution uses it, otherwise use ORCID.  

With eduID use your institution login, with ORCID iD use your ORCID login. After logging in, you should be redirected back to NR website with active login.  

I don’t have ORCID or eduID, what should I do? 
We recommend creating your own ORCID account; it’s very simple and takes less than 5 minutes. You can link your work and personal email, your publication activity, and uniquely identify yourself via ORCID iD. Unfortunately, we currently do not support any other login options. More about ORCID iD at identifikatory.cz/en/identifiers/orcid.

Can I link my accounts?
If you have two existing accounts and used eduID and an ORCID iD using the same email, your accounts will automatically link upon login.
If you first logged in with an ORCID iD and then with eduID:
If an eduID and another ORCID iD account exist with different emails, they cannot be linked without losing connection to owned records. The only option is to delete one of them and then link them upon a new login with the same email (via ORCID iD integration), which will lose the connection to the owned records of the deleted account. If such situation should occur, please contact us for support and solution.

I logged in, but I can’t create a record. What should I do?
To create a record, you must be part of a community. If your institution has a curator, contact the community curator directly (see Partner Institutions). If your institution does not have a Contract with NR, you can join the General Community as an individual and create a record there.
Records can also only be created by the “submitter” and “curator” roles. If you have the “member” role, you can only view records. For a higher role, ask your curator to change your role in the community.

Community Section

What is a community?
A community is a way to organize and group records, files and users belonging to a single partner institution within the repository. A community facilitates setting permissions for creating or reading records. Typically, one institution has one community in NR. Communities can also be created for projects or initiatives upon super-curator approval. Users’ rights to create records or read drafts always apply only to the community they are members of. In other communities, they act as unlogged-in users and can view only published content.

What is the General Community?
The General Community is a community for those interested in submitting documents whose institutions are not yet part of the National Repository. You can join it as an individual by filling out the form, see the question “How do I become a member of the General Community?”. Before submitting documents in the General Community, please ensure you have all necessary rights to publish the documents. How do I become a member of the General Community?
Fill out the application available at General community. You will then receive further instructions via email.

How do I become a member of my institution‘s community?
Adding your account to a community is handled by the curator. Provide them with the email address linked to the account you are logged into NR with. If you don’t know which email address that is, you can find it in the profile section. If you don’t know who the curator of your community is, you can find an overview in the Partner Institutions section.

About the Repository Section

Is my Institution part of NR?
If you need to find out whether your Institution cooperates and uses NR services, you can check the list of our partners on the Partner Institutions page. Each community has contact information for its community curator.

How does my institution become part of the National Repository?
Write to info@narodni-repozitar.cz expressing your interest in cooperation. Cooperation requires a gratuitous agreement between your institution and NTK as the service operator. More at Cooperation.

What does it mean that the National Repository is curated?
In the National Repository, a record is not automatically published upon submission. To be published, it must be checked by a curator – that’s why we say the repository is curated. The curator ensures the formal control of metadata and their consistency across the community to ensure the highest possible quality of metadata.

Who is a super-curator?
The super-curator is the main curator of the entire repository and comes from NTK. They perform special tasks such as creating new communities, deleting records and have powers to act in urgent cases to substitute for individual community curators. The super-curator issues methodological guidelines, trains community curators, and consults with curators and users on their problems. You can read more about the super-curator’s role in the role description in the Support and Training section.

Do I have to pay anything to access NR?
No, NR is a free service, regardless of whether you just view records and use NR content or create and store records.

How are the National Repository (NR) and the National Repository of Grey Literature (NUŠL) related?
The National Repository builds on the NUŠL service and takes over its records. NR has an expanded document typology compared to NUŠL, but if you were used to uploading files to NUŠL, you can continue in the new environment of the National Repository.

Working in the Repository Section

What documents can I upload?
Scholarly documents such as articles, publications, research reports, or conference outputs. A detailed typology and its description can be found in the Document Typology section.

I can’t find something in the repository. Are there any search tips?
Yes, you can find them detailed in the repository guide in the Searching chapter (currently only in Czech however the logic translates easily). The guide is in the Support and Training section.

How do I assign DOI to a record in the repository?
A so-called DOI prefix must be set in your community. Each community has its own prefix and must obtain it by joining the national DataCite consortium, which is managed by the National DOI Center at NTK.
After setting the prefix, simply click on “Assign DOI” for the record. DOI has specific mandatory fields; title, document type, document language, date issued, Publisher, author(s) and file.
The General Community has a prefix assigned and managed directly by NTK.

Where can I find guides for uploading records, using the community, and other documentation?
On pages Support and Training and xx. While we try to translate all of our support material to English, some might not be available to English speaking users. In such cases, please contact us directly with your questions at support@narodni-repozitar.cz.

Can I also upload a dataset related to an article preprint that I want to store here to NR?
No, NR is only for storing documents. For datasets, thematic and other repositories are being created within the Czech EOSC-CZ initiative. We recommend storing data in one of the other repositories and then linking to the record as a related source (where you can also include a DOI or Handle) in the record in our repository.

Can I replace a file in a record? (It’s outdated, accidentally uploaded file, …)
Once a record is published, the file cannot be manipulated. If you want to update the file, for example, after edits, you can version the record and upload the modified file to the new version. This applies to updating new file like a different language versions. When searching, the repository defaults to linking to the latest version, so users will always view the newest file.
If you accidentally uploaded a file that should not be freely available in any form, request the deletion of the entire record using the “Request record deletion” button and contact support at support@narodni-repozitar.cz for the fastest processing. When requesting, you must always provide a reason why you want to delete the record; otherwise, the super-curator cannot approve the deletion. After deletion, a tombstone with basic record metadata will remain at the record’s URL.

I need to edit information I provided in the record. What should I do?
After publication, you can edit metadata (if it’s a minor change) or create a new version and also change the file. For more significant changes in metadata and any changes in files, it is necessary to create a new version. If you need to make minor corrections and supplement information that has always been part of the record (typos, extended abstract, adding a related source), simply edit the metadata using the “Edit metadata” button. Records with edited metadata and new versions again go through the curatorial process.

What happens after I submit a record for approval?
The curator receives a notification about a new record for approval. If the record is good, they can approve and publish it. If the record needs correction before publication, the curator leaves a comment with notes for implementation and rejects the request. After correcting, you can resubmit the record, and the process repeats.

How does the curator know I submitted a record for approval? Should I contact them?
Repository generates automatic notifications of requests for curators the moment you submit your record. Contact the curator only if the request processing is delayed or you have other problems. Each community may have different rules, so we recommend familiarizing yourself with your community’s rules first.

How quickly will my submitted record become public?
A record is published the moment the curator approves it.

I don’t see the + sign to create a record anywhere. What should I do?
Are you part of a community where you can create records?

  • If yes: Try logging out and logging in again. The repository updates your rights information upon login and will add the option to create records to the top panel. Record can also be created when viewing your community’s page.
  • If no: Request access to a community. Choose your institution’s community or join the General Community.
